When publishing content on iotap.mah.se, make sure to follow these editorial guidelines:
This website is hosted on a Malmö University multi-site WordPress installation called blogg.mah.se. This means that you can not easily backup the full database. A work-around is to make sure to save posts and pages on the Wayback Machine as soon as they are published; see this guide for options. Also make sure to regularly export the XML (Dashboard –> Tools –> Export) which contains all website data except uploaded files (images). Upload the XML file to IOTAP’s Box account in the folder IOTAP-WEBSITES-DOCUMENTATION.
Contact details – use links, not e-mails
When mentioning people employed by Malmö University, always link their full names to their page on forskning.mah.se or nav.mah.se. For example, Andreas Jacobsson (where the link is http://forskning.mah.se/en/id/ctanja). Also make sure to link to the English version of the page, indicated by the /en/ in the URL. The English version is found by clicking on the text “English website” in the upper right corner of, for example, Jacobsson’s page. Never link directly to an e-mail addresses.
DOIs for publications
If an IOTAP affiliated publication has been published in full-text (i.e., open access) on the Malmö University repository (MUEP), make sure to provide the Malmö University “handle”, which is similar to the DOI (digital object identifier) commonly used in academic publishing. For example, http://hdl.handle.net/2043/15264. See how it’s done on iotap.mah.se/publications. This applies both to student essays/theses and articles/book chapters etc. written by faculty. If an article is open access available elsewhere, link to the DOI.
Links to external webpages
Linking to other domains is inevitable. To avoid link-rot, make sure to ‘save’ the webpage you link to through the Internet Archive service web.archive.org. This makes the webpage part of the so-called Wayback Machine, which enables you to change the original outbound link to an archived version when you notice clicking the link results in a 404. To check for broken links, use the Broken Link Checker on a regular basis.
Richard argues the acronym for Internet of Things and People should always be IOTAP. Not IoTaP or Iotap.
Project, add new and follow up
When IOTAP is granted funding for a project, the following steps should be taken:
- Ask the project leader (or the IOTAP representative in the project) for the application
- Craft a succinct summary of the project’s objectives (incl. project data, e.g., funding organization) and publish this as a page – see the project Smart Public Environments as an example.
- Write a “press release,” which is a more popular description of the project. See Pilot projects on smart public environments as an example. You can ask Kommunikationsavdelningen to help you out with this.
- Add the project to the page iotap.mah.se/projects/ and follow the conventions we use there
When a project is running, make sure to add any project updates to the project page; see an example.
PDFs and other non-image files
Do not upload PDFs, ZIPs, or other non-image files to iotap.mah.se. WordPress has no version history of uploaded files and it’s hard to know how many times files have been downloaded. Instead, upload any such files to IOTAP’s Box account, using the folder IOTAP-PUBLIC-SHARING after giving it a nice filename such as PROJECTNAME-FLYER-JANUARY-2017.pdf. Then click ‘share’, choose ‘people with the link’, and then find the direct download link to the file (always ending with the file type [e.g., .pdf]), and publish that link on iotap.mah.se.
The page Thesis Projects is a resource for students to see what opportunities there are to take part in IOTAP projects. The section “Thesis proposals YEAR” should be updated at least yearly. The purpose of the section “Previous projects” is that students can see what projects have been carried out in the past. This list should ONLY contain projects that have been finalized and has a project report in MUEP. Link to the MUEP DOI (see “DOIs for publications” above). It may take some time for a project report to show up in MUEP, but if there is no report after 18 months of when the project was supposed to have ended, delete it from the list.
WordPress “post” or “page” – when to use what
A rule-of-thumb: Information that has a ‘news’ character should be published as a post, such as an event invitation, vacancies, press releases etc (see iotap.mah.se/news for examples). A ‘news’ piece is rarely revised, and the user often wants to know when it was published (which is automatically revealed in a post but not in a page). Information that is subject to change, such as a description of a project, should be published as a page. This includes project descriptions, research areas, partners, organization, etc. When making major revisions to a page, make sure to save it on web.archive.org before updating it. Pages are not time-stamped automatically, but it’s good practice to add the text ‘last updated on Month, Day, Year, see for example iotap.mah.se/partners.
